BTC Minutes of 2007 AGM

Dear [NAME],

The minutes of the Balcombe Tennis Club's AGM 2007 are below and also available for download here.

From the Treasurer's Report, you will see that raising additional revenue is crucial to funding the court resurfacing in a few years' time, so please remember to spread the word about doing your Internet shopping through the Club's shopping portal http://shop.balcombetennisclub.co.uk. It costs nothing extra and as a club we get a little kick-back (every little helps!) and if you shop through the shopping portal you get special offers that normal web users don't.

Best regards,
Gerrit Hoekstra

BALCOMBE TENNIS CLUB

COMMITTEE MEETING 20 NOVEMBER 2007

TANDY's HOUSE 8:00 PM

Present: Karin, Neil, Nick, Tandy, Gerrit

Apologies: Baz, Judith,

AGENDA ITEMS:

Minutes from previous AGM of November 2006

Accepted

Chairperson's Report

New:

  • We have a new gardener and it looks better

  • Bi-weekly cleaner has been arranged.

  • We have left the LTA. The decision seems to have been vindicated by the fact that they have not responded at all!

Recent News:

  • We had a friendly with Ardingly Tennis Club who we have been having tournaments against for a number of years, on the 20th October and The Club won the match. This was a first!

  • The lease of the courts has been renewed.

  • The relationship with the tennis coach has improved considerably.

The Vision for the Future:

  • We need to get the beginning of the tennis season off the ground.

  • We need to get the tennis ladder off the ground for the New Year. Suggestion for formats and a name for the event are open – a possible American Tournament perhaps? May month would be the month to hold the event.

Tennis Ladder:

The discussion ensued about the approaches for a Tennis Ladder - the feeling was to have a bulletin board format for members to volunteer information about themselves and to describe their ability and the type of tennis partner required.

Membership Secretary's Report

Fees have increased which did not cause a substantial loss of membership. The results of a mass mailing via the Middy suggests that we should try this again, but this time not includ a membership form since this will be mailed separately to existing members and cause confusion.

The newsletter will now be abandoned and the parish magazine and the website will be the regular mouthpiece of the Club.

Treasurer's Report

Total Liabilities and Equity:

2006/2007:  8'928.62

2005/2006:  6'175.90

YearOnYear: 2'752.72

At the rate at which we are banking a year (approx. 2'000 a year) and with additional fund raising, we might be on target to get the courts resurfaced when the time has come. The courts were done in 1999 and should last 10 years at least. We are therefore due to resurface in 2009 and anticipate a cost of approx. 15`000. Various strategies for fund raising were discussed for covering potential deficit.

Public liability insurance was previously via LTA. We have now had to find our own insurance for this.

Election of new committee

The committee remained unchanged.

Comments from the floor

Need new double door for the club house.

AGM Closed at 22:00
